Q2. I organise more than one event can I list my entire event programme with Entryweb?

Yes. List as many events as you want whenever you want there's no restriction on how many you can have listed with us.

Q3. I organise many events under different governing bodies throughout the season can I still use Entryweb?

Yes. Each time you create an event just choose the particular event discipline/governing body associated to your event and continue with your event set up. There is no restriction on how many events run under however many governing bodies you'd like to use on Entryweb.

Q4. Can I organise an event and enter other events at the same time?

Yes. Entryweb's account is for both riders and organisers therefore you're free to enter events as a rider and organise your event with us too.

Q5. How do I list my event and start accepting entries?

After you have completed your personal profile and bank details, click on the organiser tab and then the create an event tab. Entryweb has three 'layers' - an event, race or ride and stage which all incorporate one single listing (event). The first thing to do is create your event and to choose your event discipline/governing body. Your selection will then determine which forms Entryweb will present to you and what disclaimer is needed for that type of event. Complete the event page but don't forget to use the helper for extra help in filling out the form. Once your event is saved you'll be directed automatically to the race/ride page which includes more specific information about your 'event' such as field size, date, entry selection method etc. From this page you can also include stages within your race/ride with further specific information about the stage. Take care completing all the sections particularly the categories (applicable to races) because Entryweb automatically validates entries. We have included age categories because some races may only be open to certain ages, we understand this is not generally the case but it's a provision to include on your listing if you want to use it, if your race is open to all ages just click all the boxes.

Once you've saved your race or ride and any associated stages, you can continue to add more information to your event page/programme via manage my events. Remember the event is still in draft so you can return any time to add or amend any information. Sections you may include in your listing are volunteers, sponsors and prizes associated to the event and course mapping, race/ride officials and files associated to the race or ride. Stages can be edited from within your race/ride form.

Organisers also need to be aware that entrants can only enter races or rides so in order to start accepting entries both the event and race/ride forms need to be completed.

When you're happy to continue and ready to start accepting real entries click the review & GO LIVE button within draft events where you can see your event listing/programme as others will see it. The final step is to click GO LIVE! and from that moment you can start to accepting entries and management of your event and entrants passes over to the upcoming events list.

Q6. I organise large non competitive rides & cyclosportives and need to ask my entrants various questions unique to my event can I still do this using Entryweb?

Yes. Organisers for Audax UK, Cyclist Touring Club (CTC) and Cyclosportives/Reliability/Leisure & other Cycling Events (all mostly non competitive rides) have the option to ask their entrants any questions they like by way of custom fields.

On the specific ride Details page (general ride details) organisers have the option to create their own questions which are presented to the entrant on the entry page alongside all the standard information. If you need to know what t-shirt size they might be or you need to know any technical equipment information from your riders this is the solution for you. Feel free to have as many custom fields as you wish, and if you need to edit any just return to your ride details page in manage my events at any time.

Q7. What does a race or ride using an Ability entry selection method mean?

Races or rides using the ability selection method indicate the organiser has chosen to select their entrants on ability. In order to judge ones ability the organiser will often refer to your past performance and the points you've gained throughout the season. Entrants must be aware that Entryweb will accept more than the field size plus reserves (Total field size). For example a BC road race may have a maximum field size of 80 + 10 reserves a total of 90 places but if that race is using the ability selection method Entryweb will accept more than 90, in fact any amount up until the closing date so therefore it's feasible to receive 100, 120 or more entries before the closing date. Once the closing date has passed it's the organisers responsibility to select their riders, if that race or ride has received more than the total field size the organiser will need to remove some entrants from the list until they're happy with their field and can publish the start sheet. Organisers can close entries at any stage before the closing date if they feel they have enough entries already.

Riders are recommended to complete their past performances as comprehensively as they can to give them the best chance of selection in these types of events. Organisers using this method are encouraged to keep an eye on the amount of entries they are receiving and be aware that they may well need to reimburse riders who aren't selected. Remember riders can see how many participants have already entered before they enter themselves by looking at the event page's live entrants list.

Q8. What does a race or ride using a First Come First Served entry selection method mean?

Races or rides using the first come first served selection method indicate the organiser has chosen to select their entrants on first come first served basis. For the entrant this means when the total field size is full (Field + Reserves) entries will close automatically. Entrants who have missed the field size will need to have clicked they wish to be a reserve to enter and then be placed in the reserve list. For organisers this is a simple method which will encourage riders to enter earlier. Riders can see how many participants have already entered before they enter themselves by looking at the event page's live entrants list.

Q9. Can I add my own entry form disclaimers?

Yes. Entryweb automatically provides the appropriate entry form disclaimer needed for your event and/or governing body, but if you need to add your own disclaimer you can, simply add it to the box provided when setting up your event. All entrants will need to check they have read and understood all disclaimers before they're able to enter.

Q10. What type of files can I upload to my events page/programme?

You're able to upload any type of file! Why not include previous programmes, results, OS maps, articles or flyers in your listing? After the event why not include event photos, movies or reports.

Q11. I'm always struggling for help with my event how can Entryweb help me?

We recognise it's sometimes difficult to attract help for your event, and as we all know without marshals, drivers or First Aid the race or ride cannot happen. With this in mind we've included a volunteers section for organisers trying to attract help.

Whilst creating your event programme/listing click volunteers and go through the list adding and commenting on the type of help your after. This information is then posted on the events page. Any potential volunteers/helpers can then contact you via e-mail.

Remember you can update any of this information at any time.

Q12. I have sponsors for my event can I include their logos and/or details on my events page/programme?

Yes. Whilst creating your event, click Sponsors and then add a new sponsor. Complete the form including as much information as you like then save. The information provided is then listed under sponsors details on your event page/programme. Entryweb can also promote better coverage for your sponsors by including their logo or name on the top/main section of your event listing, to do so simply click the box provided. Use this feature if you have a main event sponsor(s) and wish to have their logo more prominently placed on the event page. Don't forget you can always see how your event page will look before you go live by clicking review & GO LIVE from within your Draft Events.

Q13. My event has more than one prize list, is it possible to list multiple prize lists on my event page/programme?

Yes. Navigate your way to prizes whilst creating your event and click add a new prize to start formulating your list. The name of your prize can denote anything, for example you have an overall prize list, a KOM prize list and a few 'special' one off prizes to give away; simple indicate this with naming your prizes e.g. 1st Overall, 2nd Overall, 1st KOM or Best Vet and so on...

If for any reason you wish to re-order your prizes just use Entryweb's drag and drop tool. Remember you can always come back to add or amend prizes at a later stage if you need to. Perhaps you get a last minute prize from a new sponsor a few days before your event, no problem just add the prize and new sponsor from within Upcoming Events and send a quick e-mail to inform your entrants.

Q14. Can I include pictures of prizes on my event page/programme?

Yes. Add pictures of your prizes if you like! When creating your event's prize list just browse your computer and add an image. To see what your prize list will look like on your event programme page remember to click review & GO LIVE.

Q15. Can I list my event officials on my event page/programme?

Yes. Simply navigate to your event and then your race or ride within your management area and click officials. Click on add a new official then complete the name and choose the type of official from the drop down list. The officials you've added will then be included on the events page. Remember you can always come back to this section to add or amend the details.

Q16. Can I produce a map of my course with other useful information on my event programme/listing?

Yes. Organisers have access to Entryweb's unique mapping tool whereby they can plot a course with all the relevant flags (pins) and other useful information. Each race or ride you create will have its own mapping feature with a selection of useful flags, so if it has stages you'll need to plot the individual stages on the same map and place a stage pin within or next to the course. Using Microsoft Virtual Earth you can zoom right down to an amazingly clear resolution with incredible detail. We've even provided you with the facility to plot individual marshalling points and caution signs, a great tool when working out how many marshals you might need and informing them where you want them positioned. Anyone viewing your event page will be able to see your map and be able to zoom in, so why not include as much information as possible. Remember by zooming right down you're able to really pinpoint your flags accurately.

Q17. How do I add my offline (postal) entries?

From within your race/ride management area simply click on add rider within entrant management box and you'll be redirected to the enter a friend page. Follow the same procedure when entering a friend the difference being as organiser you can choose not to pay for this entry. At the foot of the page is an option to add this rider without payment, click the box if you wish to continue without payment. If you're entering the rider but need to pay, just continue without clicking the box. Entering a rider without payment is great if you still receive payments by cheque, but need to add their details to the system.

We strongly encourage organisers to maintain their rider lists with offline entries as quickly and efficiently as possible, especially if their race or ride is using a First Come First Served entry selection method.

Q18. When I add a rider manually who has an account with Entryweb are they notified?

Yes. The entry is placed within their account under their my entries tab, they're also automatically notified by e-mail.

Entryweb can only notify riders if you include their e-mail address on the entry page via the add a rider facility. Remember if you include an e-mail address Entryweb will automatically create an account for that rider.

Q20. Can I add riders manually who haven't got e-mail addresses?

Yes of course. Just add their details using the add a rider facility and they'll be added to your field list as normal. Entryweb cannot create an account for riders who don't have an e-mail addresses.

Q21. Will Entryweb inform me when I get riders entering my race or ride?

Yes. Entryweb will automatically e-mail organisers each time they receive an entry (once a rider has successfully paid) for their race or ride.

Q22. Can I add information to my event page/programme listing after I've gone LIVE?

Yes. You're able to add or change information on your listing at any time. This facility is open to all events in the upcoming events list i.e. prior to the actual event. Use this feature to add information as and when you receive it; for example your officials may not be known until a few weeks before the event or you may have generated extra sponsorship in the run up to your race or ride?

Q23. Can Entryweb help me fill out forms setting up my events, races & rides?

Yes. On all organiser forms we've provided you with a useful helper (a floating box which follows your progress down the page) to give you help and handy hints whilst you're filling out forms and setting up events. If your helper doesn't automatically appear you can turn it on/off using the links at the top of the page. If you need to see the helper for any particular field just click anywhere within the field (box) the helper will then provide you with help and tips relating to that field.

Q24. How do I produce my start sheet in Entryweb?

After entries close it's time to produce your start sheet. You can sort your riders either within your management area or by clicking organise riders for more comprehensive and detailed full page layout of your riders' details in a convenient horizontal layout. The table shows various bits of information about the riders such as date entered, club/team, points, past performances and more. Using this data you should be able to sort your field into the appropriate order, don't forget by clicking the rider's name produces their entry details. When you require further information click their performances which produces their past performances for that particular discipline.

Re ordering is easy, just click on the riders name and drag holding the left mouse key down and dropping the rider (lifting the mouse key) where you want them. We call this drag and drop and its a great tool for CTT organisers ordering their field, or sort by column headers such as club/team, date entered or name. Both these methods can be used within your management area and within Entryweb's entrant management.

CTT and BC Time Trial organisers have the starting times displayed alongside the respective numbers making re-ordering far easier. When you're happy to publish your start sheet save any changes and click publish start sheet to events page.

By producing and publishing your start sheets within Entryweb an automatic e-mail is sent to the riders (field and reserves) informing them a start sheet is now available on the events page.

Q25. Can I upload my own start sheets?

Yes. Navigate to your management area in the start sheets sectiion and click upload a start sheet. Simply name your file then browse your computer and upload. You have the facility to upload as my start sheet files as you wish.

Q26. Can I download my rider lists (Start Sheets) to my computer?

Yes. Simply click on the export/download entrants data (c.s.v.) button within your entrant management area. The entrants and their data (number, club/team, category etc...) within the list at that time will be downloaded. If you need to save a copy of your riders in the start sheet order then download the data at that point, if for any reason you want to download a list beforehand whilst you're still accepting entries, no problem click and save a copy capturing the list in that particular order at that point in time.

If you want to create more than one start sheet per race/ride, just order your riders easily within Entryweb then download to your computer using the import/upload a start sheet function. The 'main' start sheet can then be formulated and published as normal within Entryweb.

Q27. How do I produce my signing on sheets in Entryweb?

Signing on sheets are formulated in the same way start sheets within your management area. Remember to save your changes before printing. If your race or ride has stages you can also print signing on sheets per stage and we also provide you with a separate signing on sheet for your reserves. Please be aware all the formulating needs to be completed before the first day of your race or ride. Signing on sheets can still be printed whilst the event is in the completed events list, handy if you plan to print your signing on sheets each day of your stage race. All signing on sheets have your chosen governing bodies disclaimers and logos just like the originals.

Please be aware the same list of riders is used for both your start sheets and signing on sheets.

Q28. How do I produce my results with Entryweb?

Creating your results using Entryweb is easy. Navigate to results management in completed events list and re-order your riders to create your results. If you had riders entering on the line (EOL) and need to add them to your results just click add an entry on the line rider (EOL) then complete and add their details. We've provided a box for you to include a time or distance for each rider or if that rider didn't participate drag them into the box provided, when you're done save your work and click publish results on events page.

Results created within Entryweb can also be exported/downloaded by clicking Export/Download My Results (c.s.v.). This tool is useful if results need to be published on other other sites or for your own records.

Q29. Can I upload my own results file(s)?

Yes. Include your own results files on your event page/programme. Navigate to results management and click import/upload results file(s) to events page. Simply name your file then browse your computer and upload. You have the facility to upload as my result files as you wish.

If you've created your results within Entryweb and published to events page then all your entrants are automatically notified by e-mail results are now available for that race/ride.

Q30. How much control do I have with my entries?

Entryweb has been developed with the organiser in mind, so yes organisers have full control over who they want in their events. As explained with the two different selection methods we recognise that some races/rides will require different entry policies. The organiser has the power to remove, move to reserve list and add to the field any entrant at any time.

Whilst accepting entries you may want to remove a rider who has paid for whatever reason - that's no problem, navigate your way to your management area and click the remove rider icon, repeat the same process for the moving to reserves list and adding a rider to the field.

Note: Any rider who you have moved or removed receives an automatic e-mail informing them of your actions. To remove a rider you must also give a reason which is included within their e-mail from us.

Q31. Do I still need to send (via the post) my programmes, rider lists, information, start sheets and results to my entrants as I have done so in the past?

You can do so if you want however all this information and more is available directly from your events page/programme. Riders who have entered through Entryweb all receive automatic e-mails informing them of vital event information and will have already accessed your events page. To insure all your entrants receive automatic e-mails informing them of your actions we recommend you include their e-mail addresses when adding them manually (most entry forms now include e-mail addresses) in doing so Entryweb creates an account for them and they can be included in all future automatic notifications regarding your event. Please remember you can still add entrants whether they have e-mail addresses or not, for entrants who don't have e-mail we recommend you print and post the information to them as you would have done in the past.

The events page/programme itself can be printed and we expect riders to do so themselves if they require a hard copy, which reduces the need for our organisers to go to the trouble of producing and posting a programme. If you still require or want to send start sheets and/or programmes then use the show/hide buttons on each section of your events page/programme to select what you want printed.

Q32. Can I close entries for my race or ride at anytime?

Yes. Navigate to your race/ride management area and then choose the close entries option within event management. You'll need to give a reason for this decision which will be posted on the event page.

Q33. Can I e-mail all my entrants?

Yes. E-mailing your entrants using Entryweb is very easy. Simply navigate your way to your race/ride management area where you'll see the list of all your entrants, just tick the box alongside the rider(s) names and click e-mail, the next page allows you to type your message, once you click send you're done!

Q34. Can I print off my entrant's entry forms if I need to?

Yes. Entryweb realises in some case organisers may still need to have a hard copy print out of their rider's entry forms on or for the actual day of the event. Entryweb provides the organiser with its own formatted entry form for every entrant no matter which type of event structure you're using, available for printing at any time. By clicking the rider's name within your race/ride management area Entryweb generates all the rider's information/entry form on screen. Within the same window click the entry form link to open a new page which you can then view/print at any stage.

Entryweb has also formatted the BC Road & Circuit and CTT entry forms just like the originals. If you're organising those events just click the rider's name and then the relevant link on screen to generate that particular entry form. Every form is populated with that rider's information.

Q35. Can I remove an entrant from my race or ride after they have paid?

Yes. Navigate your way to your race/ride management area and click the red cross icon alongside the rider's name you wish to remove. You must provide a reason for removal which is sent along with their automatic e-mail from us.

Q36. Can I move entrants in the field to my reserve list?

Yes. Be aware that only riders who are willing to be a reserve can be moved to the reserve list. Remember riders who don't wish to be a reserve cannot be placed into that list. Click on a rider's name to generate their details from within your management area to see whether that rider wants to be a reserve or not. Click on the reserve icon against the rider's name to place them into the reserve list.

Q37. Can I update or change my bank details at any time?

Yes. You can edit your bank details at any time if you need to. At this stage Entryweb allows organisers to use or associate one bank account per Entryweb account (i.e. per organiser) and we assume all their funds will be credited to the same bank account for all their events. Please contact us if it's essential you need to have an alternative arrangement.

Q38. How do I attract riders to enter online?

As soon as your event is LIVE you're issued with a URL or web address. This is the address of your events page/programme and you're encouraged to use it anywhere you want as much as you want. Wherever you have listed or advertised your postal address you'll now need to include the URL advertising the fact you're now accepting online entries on Entryweb.

Include your URL in handbooks, forms for your event, other websites, e-mails, online and offline calendars, printed media, anywhere. If you currently have a database of riders from previous years why not send them an e-mail informing them you now accept online entries and to click the URL link directing them straight to your new online programme!. We're sure all your riders will be thrilled to be able to pay online using their cards and with Entryweb that's just part of the package.

Potential riders visiting www.entryweb.co.uk will be able to search for your event in the events calendar.

Q39. How much does it cost to use Entryweb?

Registering with Entryweb is FREE for everyone. We do not charge riders entering races or rides and there are no hidden costs or extra card fees for your entrants - Entryweb is FREE for riders - what the rider sees is what he or she pays. Entryweb charges the organiser (5.95% + 30p) + VAT per entry fee for competitive events (races) and non-competitive events (rides). All entry fees below £9.99 are fixed at £0.90 + VAT.

For example if 80 riders enter your race through Entryweb at £15 each totalling £1,200 you'll receive £1,104.60 in total our fee being £95.40 ex VAT*. If only one rider enters your race or ride via Entryweb and the rest you receive by post you'll only pay for that rider's entry fee. There is no limit to how many or how few entries you process through Entryweb.

Remember we do not charge for adding offline (postal) entries into the system and the organiser has the choice to pay for offline entries in the same way as entering a friend (which will incur our fee) or by clicking the box at the foot of the entry page which allows the organiser to enter their offline (postal) entries without payment. Use this option if you still receive payments from riders by cheque.

Reduced fees are available for BC Cycle Racing Leagues organising mulitiple events we can also offer full integration within Entryweb just like the new Wessex Cycle Racing League, which means riders can save league licence numbers and league points which are processed with each league entry. League organiser(s) also profit from Entryweb's bespoke league event set-up and management system standing by at their fingertips. Q40. How does Entryweb charge me?

We only charge organisers not entrants. We take our fees before we credit the organisers their money at every payment stage.

Q41. How does Entryweb pay me?

We pay organisers by bank transfer into the specified bank account they have provided at each payment stage. Payments by bank transfer are fast, secure and are rapidly becoming the preferred way to transfer money, just like online entry!

Q42. When does Entryweb pay me?

There are now 3 payment options for organisers to choose from. Option one means you'll receive 2 payments one 10 days before the event and one 7 days after. Option two means you'll receive monthly payments of entries fees processed within that month.

Q43. Can I receive funds on demand?

Yes but only for events using option one and not monthly settlements (option two). If funds are required organisers can request funds to be transferred at any time. Entryweb will only be able to transfer entries that have been cleared until that point. Please remember this is an additional request so the remaining transfer dates will not change, and you'll still receive funds on those dates (unless all the funds have already been transferred). In addition to our normal fees a fund request will incur a charge of £8.00.

Q44. Will Entryweb send me a receipt detailing my event and payments?

Yes. All organisers will be e-mailed a receipt detailing the transactions of their event along with an event summary sent after the event.

Q45. Can I change the fees whilst my event is live?

Yes you can. Simply navigate your way to the race/ride page by clicking edit where you can change your fees and save. Please note all changes take effect immediately. It's recommended that you clarify if and when you intend to make fee changes within the comment sections so riders are warned in advance. Fee increases can be an effective way to encourage riders to enter earlier on the other hand if your field is not full you may choose to decrease fees, but in either case make sure your fee structures are clear to all riders by including an explanation within your comment sections.

Q46. Can I change field sizes whilst my event is live?

Yes. Again navigate your way to your race/ride page and edit where appropriate. Please bear in mind changes take effect as soon as the form's saved. In the majority of cases field sizes are unlikely to change but if for any reason you need to do so the option's there. Permission may be granted for an extra 10 riders or you may increase the number of riders due to demand, but as with all significant changes we recommend you include a note in your comment sections and as with all changes they to are published to your events page/programme as soon as the relevant page is saved.

Q48. How do I give preferential treatment to league riders?

Because league events are competitive and more than likely using Entryweb's 'Ability' selection method, it gives the organiser maximum control over how they wish to order and who they wish to have in their races. Using the 'Ability' selection method basically allows that race an unlimited amount of entries, therefore the responsibilities yours to order your field as you wish allowing you to give preferential treatment to league riders – if the FCFS entry selection method were implemented Entryweb closes entries either at the close of entries date or when the field size is full, which does not give the organiser full control especially if preference is given to a certain group of riders and on top of that selections are made on a rider's ability and not when they may have entered.

You can distinguish between league and non league riders in a number of ways – one by checking their entry details for a league number (only available for integrated leagues) and two seeing whether that rider is in an affiliated club (which can also be implemented). If you're happy with the entry list before the closing date than just close entries from within your management area, but if the field isn't full by that date bear in mind Entryweb will automatically close entries as normal.

Q49. I run a series of events but it's not a full blown league how can Entryweb help me?

Entryweb can accommodate nearly every type of cycling event and if you run a series you're no exception. Just create lets say 6 events e.g. circuit races A,B,C etc... on 6 different dates in the normal way with the particular races in each event to established your 'series'. Please note we don't consider any group of events a series, a series needs to be managed from one single Entryweb account (i.e. organiser) and it's not permissible to group any events together e.g. a Cornwall RR with, Isle of Man TT and a London CycloCross!

At the moment it's not possible for riders to enter a series as a whole and have their details automatically populate all the races or rides within that series, at this point in time it needs to be done on an individual basis, but there is a way around (see below). Riders of course can enter as many different races or rides as they wish and pay with one transaction as normal.

The only anomaly regarding a series is when you offer a reduced fee for entering the whole series. For example you allow riders to enter the entire series for £50 but if entered individually it would cost them £60. Entryweb at this point in time cannot automatically accommodate this sort of fee structure, but there is a way around, but it means having to create another 'event' lets call it Enter the entire ABC circuit series with associated races for each 'race/ride or category' and a clear explanation that by entering these 'races or rides' you enter the whole series. If this is the case any riders entering the entire series i.e. Enter the entire ABC circuit series shouldn't enter the individual events you would have already set up. The last consideration being that you as organiser will need to manually enter those riders into the whole series i.e. into the actual individual 'events' by bypassing the payment option. By doing this you can accommodate the different fee options for entry to an entire series and at the same time allow riders to enter individually if they so wish. Manually entering riders is quick and easy, especially for Entryweb members, all you need to do is enter their e-mail addresses and the entry details automatically populate, there's no need to re-type each rider's details. Its worth noting that in this case you'll need to make it clear, by using your comment sections, that you'll be manually populating each individual event with the same details your riders would have entered the series with.

An advantage with this method is you inadvertently create a list of riders who have entered the entire series, you may wish to use that separate signing on sheet or establish a 'series' prize list for those riders only? The options are endless, however if you still have questions why not contact us but please have a look through the site and have a go at setting up some events in draft to get an idea of how things work and see the many possibilities Entryweb can offer you.
